1. Information You Provide
When you submit the intake form, use the contact page, or book a consultation, we collect the details you enter: your name, email address, phone number, firm name, and information about your staffing needs. Meeting requests also include preferred times and a time zone; staffing intake includes how you found us. Our server sends these details to hello@dockethire.com through HighLevel and to the team's Discord channel as a lead notification. We use the details to respond to you and run the staffing process you asked about. Notifications awaiting delivery are stored in private Vercel storage and retried when needed.
2. Site Analytics We Host (BIJI Analytics)
We measure site traffic with BIJI Analytics, a first-party analytics service that the site owner hosts and operates (loaded from biji-analytics.onrender.com). It is not an advertising network, and nothing it collects is sold or shared with advertisers. For each page view it records the page path and hostname, a cleaned referrer (query strings removed), allowlisted campaign tags (utm parameters) from the page address, your screen size, browser, operating system, and device type, and an approximate location (country and city) derived from the network request.
To tell visits apart, it stores two first-party cookies with random identifiers: a visitor identifier kept for up to one year, and a session identifier that expires after about thirty minutes of inactivity. These are random strings that contain no name, email, or other personal details. You can ask us to delete the analytics data associated with your visits by emailing hello@dockethire.com.
3. Google Analytics
We also use Google Analytics 4 (measurement ID G-6C1V20S14K) to understand aggregate site usage. We configure it to report only cleaned page addresses (query strings are stripped except for allowlisted campaign tags), to report referrers without their query strings, and to disable Google signals and ad personalization. Google Analytics sets its own cookies and processes data under Google's privacy terms.
4. Form Submissions
Contact, meeting, and staffing intake forms submit through our website. A meeting request does not reserve a calendar slot; our team confirms a time by email. After a successful submission, we record contact_submitted, meeting_requested, or intake_submitted in the analytics tools described above. These events contain the form type and no personal details. If you arrived through a marketing link, we keep permitted campaign tags such as utm_source in your browser's session storage and include them with the request so we can tell which pages lead to enquiries.
5. How We Use Your Information
We use the information we collect to respond to your inquiries, match you with qualified legal virtual assistants, improve our services, send relevant communications about our offerings, and comply with legal obligations. We do not sell your personal information.
6. Information Sharing
The service providers that handle your data are the ones named in this policy plus the providers that run our infrastructure: the scheduling and client-management platform that receives form and booking submissions, our web hosting provider, email delivery, and the analytics services described above. BIJI Analytics is self-hosted by the site owner rather than run by a third-party analytics company. We share personal information with these providers only so they can perform services for us.
7. Cookies
In summary, cookies on this site come from BIJI Analytics (the two random-identifier cookies described above) and Google Analytics. You can block or clear cookies in your browser at any time. The contact, meeting, and staffing intake forms do not require cookies.
8. Data Security
We use industry-standard measures to protect personal information, including encryption in transit and access controls. However, no method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Your Rights
You may ask to access, correct, or delete your personal information, and you may opt out of marketing communications at any time by using the unsubscribe link in our emails or contacting us directly. For any privacy request, email hello@dockethire.com and we will handle it promptly.
10. Changes to This Policy
We may update this privacy policy from time to time. We will notify you of any material changes by posting the updated policy on this page with a revised "Last updated" date.
